Guide and practice for your work

Connect your apps to the assistant and let it work with your information

Connect the apps where your work lives, and have it gather information and prepare what you need instead of moving it yourself every time.

What will you get?Your work context in one place and drafts to review before taking action.

Let's understand the idea

Each time you open messages and files and copy material into the assistant, there's a step you could shorten. Connectors link it to the apps containing your work so it can retrieve relevant information instead of you gathering it yourself.

It can read a file, gather recent email updates, and prepare a report or reply. In apps supporting actions, it can also create or edit a file or send an email you've reviewed. Capabilities vary by connection and account.

Start with one app and a task you need. If there are several projects or accounts and your meaning is unclear, specify which you mean. Once you've confirmed access to the right information, expand the work step by step.

Examples to expand the idea

A sales employee receives 20 emails daily: prices, orders, and inquiries. She connects Gmail to Claude and each morning asks for replies in the style of her previous emails. She reviews them in 5 minutes and sends them.

  • Prepare for the workday

Gather relevant messages and appointments from the intended accounts. Separate decisions needed from information and drafts.

  • Meetings and follow-up

Continue with the meeting decisions workflow, recording each decision's location and tasks without guessing owners or deadlines.

  • Clean and combine files

Use the spreadsheet cleaning workflow before gathering numbers from multiple sources.

Choose the method before starting

There's more than one way to do this task

Open the menu and choose what fits your inputs and desired result. The method's guide appears directly below it.

Prepare for the project

Prepare the project description, requirements, and examples of suitable responses. Ask an instruction-preparation assistant to organize them. Review the instructions. Its role is to improve the context you'll work with.

Try it on your work: Prepare what you'll work on and start with a small part. Review the result before continuing.

Apply it to something of your own

  1. 1Connect the app containing your workThe app is connected, and you know what you'll use it for.Details

Connecting saves you moving information from the app into the conversation.

    What should I do?

    • Choose a task you need and identify which app holds its information.
    • Open Apps or Connectors. Review permissions, then connect the right account.

  2. 2Test a familiar file or messageYou've confirmed it read the right information.Details

A small test confirms the assistant reached what you intended.

    What should I do?

    • Ask it to retrieve a familiar file or summarize a specific message.
    • Open the returned link and check it's the right item. If there are similar items, clarify which you mean.
  3. 3Have it gather task-relevant informationA clear view of what's needed, with links to revisit.Details

Information from multiple apps brings the context closer to your real work.

    What should I do?

    • Say what you need to know and have it gather that from your connected apps.
    • Have it identify new changes or canceled requests instead of repeating the old version.
  4. 4Request the result you'll useA version you can use or edit.Details

Gathering information helps when it becomes something that lets you continue your work.

    What should I do?

    • Request a meeting summary, tracking table, or draft replies, depending on your need.
    • Review important wording, its presentation, and any remaining gaps.

  5. 5Continue with actions if the app supports themYou've opened the file or seen confirmation of the action, beyond text saying it's done.Details

Some connectors do more than read. The assistant may use other tools too.

    What should I do?

    • If you need an email sent or a file saved, request the action clearly and confirm it's supported.
    • For tasks with several steps, try a task space such as Work, Task, or Cowork where available, and follow what's happening.

  6. 6Save the approach that workedAn approach you can repeat, with a confirmed schedule if needed.Details

For recurring work, you don't need to explain your approach from scratch every time.

    What should I do?

    • After a successful test, save instructions and references you'll need again.
    • To repeat it at a set time, create a schedule and test the first result. A task succeeding once doesn't mean it's scheduled.

Review before use

Did the result serve your original goal?

Confirm the account and source. Review actions actually completed and drafts before sending them.

  • Did the result meet the requirements without significant gaps?
  • Were the sources and details that must stay accurate checked?
  • Did you open the file or link and test it as it will be used?

If there's a problem, name the unsuitable part, show an example, and request a specific edit.
