How do you connect your apps to your AI assistant?

Let it get information from your apps and work with it or carry out your request from the same conversation.

What are connectors, and how do they help you?

Every time you ask the assistant to work on something you have, you open email, find the file, and copy or upload the content into the conversation. When information is spread across apps, part of your time goes into preparing it before the assistant can even help.

Connectors link your AI assistant to the apps you use. Depending on the tool, they may be called Apps, Connected Apps, or Plugins. Once connected, it can search for information and read what the task needs from the apps available to it. This gives it context from your real work instead of generic answers or relying only on what you remembered to upload.

You will find this idea in services such as ChatGPT, Claude, Gemini, and other tools. Which apps you can connect and what the assistant can do inside them vary by service and account.

Let it gather the data for you

Imagine preparing a meeting about a project you are working on. The files are on Drive, and the latest changes are in emails. After connecting these services, you can ask it to gather the latest updates and prepare a meeting summary. You tell it what you need, and it searches connected sources instead of you spending time moving information between apps.

The same applies to a teacher: lesson files on Drive, parent messages in email, and class times in the calendar. The information it accesses should relate to the request. Connecting an account full of files does not mean every file is useful or that it automatically read everything.

After it gathers the information, check the result and links to important files or messages. Better context helps it understand your work, but it may still miss an update or misunderstand a message.

Connections can help you take action too

A connector can do more than search and summarize. Some apps also let the assistant take actions inside them. If these actions are available in the service and your account, it may draft a Gmail reply and send the one you reviewed, create a file on Drive, edit a document, or add a calendar event.

  • With email: Gather messages needing a reply, write drafts based on their content, and send what you requested after your review if sending is supported.
  • With files: Read project content, prepare a report or table, and save it where you choose if the connection supports it.
  • With the calendar: Check available times and help arrange a meeting or add an event within the tool's capabilities.

There is a difference between “It wrote the email text” and “It sent the email.” Check the execution confirmation or open the message and file yourself. State from the start whether you only want preparation or want steps carried out after your review.

How do you start connecting?

Open the app or connection settings in your tool and choose the service containing your work. In ChatGPT, it may be under Plugins or Apps; in Claude, you will see Connectors; in Gemini, Connected Apps. Menu layouts and option names may change with updates.

Connect the account containing the required files or messages and check permissions before continuing. Then try a small prompt: “Get this file from Drive and summarize its key points.” If several files have the same name, specify which one you mean or send its link.

You do not have to connect every app at once. Start with the one useful for your current task. If a service is missing, check your account's available features and work settings; it may not be enabled or may require another plan.

Try a connection for something you need now

Choose an app with information you need for work and connect it if available. Ask for one thing you can check, such as a file summary, your latest project tasks, or a draft reply. Once you confirm it reached the right information, expand the task step by step.
